About the Position

The Bilingual Office Assistant plays a critical role in supporting the day-to-day operations of Lane County’s Parole & Probation Division within Community Justice and Rehabilitation Services (CJRS). This position provides essential front-line administrative, clerical, and records support in a fast-paced, public-facing environment that directly supports public safety and community well-being.

This role performs a wide range of technical clerical duties, including typing, data entry, document processing, records management, and reception services. The Office Assistant regularly interacts with individuals who are reporting to meet with Parole & Probation officers, as well as members of the public, partner agencies, and staff. Because of the nature of the work, this position often involves frequent public contact, including interactions that may be complex, sensitive, or emotionally charged. Professionalism, sound judgment, and the ability to remain calm and respectful in challenging situations are essential.

As a bilingual position, this role provides language access and support for individuals with limited English proficiency, helping ensure clear communication, understanding of requirements, and equitable access to services. Accurate communication, confidentiality, and cultural awareness are critical components of the work.

The position operates with a high level of independence and responsibility, receiving limited instruction except in unusual situations. Incumbents are expected to be knowledgeable about office procedures, departmental policies, and the use of multiple law-enforcement-related databases. Certification in required systems is necessary, and employees must understand the level of accountability and liability associated with maintaining accurate records and sensitive information.

This position is based at the Parole & Probation Office located at 2699 Roosevelt Boulevard, Eugene, Oregon, and includes responsibilities such as greeting and assisting clients at the reception window, performing continuous technical data entry related to law enforcement functions, and processing legal and administrative documents that support probation and parole operations.

About the Division

The mission of Community Justice and Rehabilitation Services (CJRS) is to contribute to public safety by reducing risk, creating opportunities, and working to make positive changes in lives directly affecting the impact to the community, victims and offenders by holding justice involved youth and adults appropriately accountable for their behavior.

Schedule: Monday – Friday; 8:00am – 5:00pm

Job Requirements:

Training:

  • Equivalent to the completion of the twelfth grade.

Experience:

  • Two years of responsible clerical and office assistance experience.

An equivalent combination of experience and training that will demonstrate the required knowledge and abilities is qualifying.

Testing Requirements

  • Successful hire will be contingent upon taking a bilingual test to demonstrate proficiency in both English & Spanish


Special requirements:

  • This position is subject to a full pre-employment background check. You must pass the pre-employment background check to move forward in the hiring process.
  • Must be able to complete and pass LEDS/CJIS testing within 30 days of appointment.


Licensing Requirements: 

  • Possession of or ability to obtain Oregon Notary Public commission within six months of initial appointment.
  • Must be in possession of a valid driver's license at time of application, and a valid Oregon Driver's license by time of appointment.

BILINGUAL “B”

Bilingual designation is an adjunct classification.

Language - Spanish

DEFINITION:

To assist in providing bilingual communication with Limited English Proficient (LEP) persons. Individuals in these classifications do more than self-identify; they have successfully passed a test demonstrating proficiency in both English and the other language administered by the County. The need for the use of the second language in the performance of job duties in this classification has been identified.

EXAMPLES OF DUTIES:

In addition to the regular knowledge, skills, and abilities required of the employee’s main classification, the bilingual duties of this adjunct classification may include, but are not limited to the following:

  • Interpreting between English speakers and LEP persons.
  • Orally translating documents
  • Providing oral assistance
  • Providing written assistance, including some written document translation

MINIMUM QUALIFICATIONS: 

Knowledge of:

Both languages, demonstrating the ability to convey information in both languages quickly and accurately.

Ability to:

  • Communicate clearly and concisely.
  • Maintain confidentiality of communications.

EXPERIENCE AND TRAINING:

An equivalent combination of experience and training or demonstrated abilities qualifying the employee or applicant to perform the duties described herein. These skills and abilities may be acquired in various ways, i.e., education and/or bilingual or bicultural experiences.
